Customer e-Document Portal

Customer e-Document Portal (also referred to as a Digital Document Repository or Customer Document Vault) is a secure self-service web and mobile application where policyholders can access, view, download, sign, and store all their insurance-related documentation digitally throughout the policy lifecycle.

While an Insurance Customer Mobile App or CRM Portal handles broad service interactions and requests, the e-Document Portal acts as the central, compliant digital archive for all official paperless documentation generated across the core insurance ecosystem.

Core Operational Functions

1. Centralized Policy Document Repository

The portal automatically organizes and indexes all documents generated by core back-office systems:

  • Policy Schedules & Certificates: Instant access to motor cover notes, health insurance cards, policy terms, and endorsement schedules.
  • Tax & Financial Statements: Downloadable premium receipts, tax deduction certificates (e.g., Section 80D certificates), and annual account statements.
  • Claims Documentation: Settlement letters, damage assessment reports, loss adjustment vouchers, and payout breakdown statements.

2. Digital Signatures & Paperless Onboarding

Integrated with e-signature engines (e.g., DocuSign, Adobe Sign, or national digital ID signers):

  • Allows policyholders to electronically sign proposal forms, endorsement requests, and medical consent declarations without printing or scanning paper.
  • Enforces legally binding audit trails (IP addresses, timestamps, biometric/OTP authentication logs) attached to signed documents.

3. Bi-Directional Document Upload (Customer Intake)

The portal isn't just for downloading—it serves as a secure intake channel for customer-submitted files:

  • KYC & Identity Verification: Secure upload of passport/ID copies, address proofs, and income verification files during policy purchase.
  • Claims Evidence Submission: Uploading accident scene photos, repair garage estimates, hospital bills, and police reports directly into active claim files.

4. Eco-Friendly & Preference Management

  • Green Preference Toggles: Allows policyholders to opt in or out of physical paper mailings, driving digital adoption and lowering print/postage costs.
  • Document Expiry & Renewal Alerts: Automated notifications alerting customers when uploaded documents (e.g., vehicle roadworthiness certificates or driving licenses) are about to expire.
